Privacy Statement

Victory4All Foundation is responsible for the processing of personal data as reflected in this privacy statement. For questions, comments, tips or complaints, please email info@victory4all.com.

Personal data we process

Victory4All processes personal data because you use our website, because you support the foundation with a donation and/or because you provide these data to us yourself.

Below is an overview of the personal data we (may) process, if provided:

  • First and last name
  • Address details
  • Phone number
  • Email address
  • IP address
  • IBAN
  • What donation(s) you made through the website (if any)

For what purpose we process personal data

Victory4All processes your personal data in order to:

  • Send e-mail newsletters (if signed up for this)
  • Send physical mail (if registered for this purpose)
  • Send updates about your sponsoring class, by mail or email (if applicable)
  • Send updates on donations to specific savings goals, or
  • Send thank you notes for donations

Personal data is processed and used by employees and volunteers of Victory4All. A confidentiality agreement is in place with all employees and volunteers, with a strong emphasis on confidentiality and privacy.

Processors

Your data is managed through the following systems:

ActiveCampaign (MailBlue)

Victory4All uses ActiveCampaign (and the Dutch provider MailBlue) as its online database for both managing personal data of sponsors and interested parties and for sending our digital email updates. We have entered into a processing agreement with ActiveCampaign.

With every donation, registration or contact moment through the website(www.victory4all.nl), the following personal data are stored:

  • Name
  • Email address
  • Date, frequency and amount of donation (if applicable).

In addition, with each donation or contact moment through the website(www.victory4all.nl), the user is given the choice to sign up for monthly email updates and/or for a one-time update (when the donation contributes to a specific savings goal). If this is chosen, the user will be subscribed to the relevant email list.

We may also store additional personal and address data (if provided by the sponsor) for the purpose of administering donations, contacting sponsors and sending physical sponsorship cards and newsletter specials by mail. Victory4All may store the following additional data in ActiveCampaign:

  • Address
  • Phone number
  • IBAN

Under every email update sent through ActiveCampaign, the recipient is given the option to unsubscribe from the corresponding email list.

Google

We use Gmail from Google Apps as our email client. As a result, all emails to personal email accounts are stored on Gmail’s email servers. These servers are located outside the EU. We have entered into a processing agreement with Google.

Microsoft OneDrive

The Victory4All team uses OneDrive to store, edit and share documents online. Personal data of sponsors may be stored within OneDrive, for the purpose of general administration or processing direct debits. We have entered into a processing agreement with OneDrive.

 

Antagonist

The website and backups of the website are hosted at Antagonist. Data you leave via the forms on our website are stored on Antagonist’s servers.

 

Vanderperk Group

Vanderperk Group is our regular printer and sender of physical mail They process the list of recipients for this purpose. After the mail items are sent, the mailing list is removed from their systems.

We have entered into a processor agreement with Vanderperk Group.

How long we keep personal data

Victory4All does not keep your personal data longer than strictly necessary to realize the purposes for which your data are collected. We use the following retention periods for the following (categories) of personal data:

Sending email newsletters

Your personal data in ActiveCampaign will be stored there indefinitely. If you unsubscribe from these newsletters, this does not mean that all your data are deleted. If you wish to do so, please send an e-mail to info@victory4all.com to request this.

Contact

The moment you contact us through the website or directly to one of our e-mail addresses, the data sent with it (such as your name, e-mail address and data you mention in the e-mail) is stored on Gmail’s mail servers.

Donations

Donations via the website are recorded in ActiveCampaign. All personal data sent along with the donation will be recorded. Should you stop sponsoring, this data will remain stored in ActiveCampaign in order to fulfill our financial accountability. Of course we can delete the necessary personal data. If you wish to do so, please send an e-mail to info@victory4all.com to request this.

Sharing personal data with third parties

Victory4All does not sell your data to third parties and will only provide them if this is necessary to execute our agreement with you or to comply with a legal obligation. With companies that process your data on our behalf, we conclude a processing agreement to ensure the same level of security and confidentiality of your data. Victory4All remains the point of contact for this processing.

Cookies, or similar techniques, that we use

Victory4All’s website uses Google Analytics cookies to obtain information about visitor numbers and behavior on the website (which pages, how long visited, etc.).

We do not share any data of your use of our website with Google. The Google Analytics cookies are not used for other Google services. We have deliberately chosen not to record your IP address in its entirety. The data from the Google Analytics cookies is transmitted encrypted. For all YouTube videos on our websites, we use a cookie-free method of display.

View, modify or delete data

You have the right to view, change or have your personal data removed. You also have the right to withdraw your possible consent for data processing or to object to the processing of your personal data by Victory4All and you have the right to data portability. This means that you can request us to send the personal data we hold about you to you or another organization named by you.

You may send a request to inspect, correct, delete or transfer your personal data or a request to withdraw your consent or object to the processing of your personal data to info@victory4all.com.

To make sure that the request for inspection is made by you, we ask you to send a copy of your ID with the request. In this copy, black out your passport photo, MRZ (machine readable zone, the strip of numbers at the bottom of the passport), passport number and Citizen Service Number (BSN). This is to protect your privacy. We will respond to your request as soon as possible, but within four weeks.

How we secure personal data

No physical copies will be made of your personal data. Your data is managed only in the systems and software mentioned above.

Personal data managed by Victory4All or by previously mentioned third parties can only be accessed through the above software and are password protected.

In addition, your visit to our website is secured by an SSL certificate. This means that your connection to our website is private. You recognize this security by the green lock in the address bar. In addition, Victory4All’s domain is signed with DNSSEC. This is an additional tool that makes the “signposting” of the website more secure and familiar.

Victory4All takes the protection of your data seriously and takes appropriate measures to prevent abuse, loss, unauthorized access, unwanted disclosure and unauthorized modification.
